Last Updated: June 2026

Introduction

Concise Property Solutions operates CCTV systems at its facilities in Malton and Dunnington as part of our commitment to providing a safe, secure and well-managed environment for customers, visitors, tenants and staff.

This policy explains why CCTV is used, how footage is managed and the rights of individuals whose images may be captured.

Purpose of CCTV Monitoring

CCTV is used to support the security and operation of our premises and to help protect people, property and business assets.

The objectives of our CCTV systems include:

  • Crime prevention and detection
  • Protection of customers, visitors and staff
  • Protection of property and business assets
  • Monitoring site security
  • Assisting investigations into incidents or disputes
  • Supporting health and safety requirements
  • Deterring anti-social or unauthorised activity

CCTV is not used for intrusive or excessive monitoring and is operated in a proportionate manner.

Areas Covered

CCTV may operate in and around:

  • Site entrances and exits
  • Access roads and parking areas
  • Storage facilities
  • Serviced office locations
  • Commercial workshop areas
  • Shared and communal spaces
  • External site boundaries and perimeters

Appropriate signage is displayed throughout monitored areas to inform individuals that CCTV is in operation.

Legal Basis

Concise Property Solutions processes CCTV footage under the lawful basis of Legitimate Interests as defined by UK GDPR.

The legitimate interests include:

  • Maintaining site security
  • Preventing and detecting crime
  • Protecting customers, visitors and staff
  • Protecting company property and assets
  • Supporting investigations where necessary

We regularly review our use of CCTV to ensure it remains appropriate and proportionate.

Access to CCTV Footage

Access to CCTV recordings is strictly limited to authorised personnel.

Footage will only be accessed where there is a legitimate business reason, including:

  • Investigating incidents
  • Reviewing security concerns
  • Responding to complaints or disputes
  • Supporting law enforcement enquiries
  • Meeting legal or insurance requirements

Disclosure of Footage

CCTV footage may be disclosed where appropriate to:

  • Police and law enforcement agencies
  • Insurance companies
  • Legal advisers
  • Regulatory authorities
  • Other parties where disclosure is required by law

We will not routinely share CCTV footage with third parties.

Retention of CCTV Footage

CCTV recordings are retained only for as long as reasonably necessary to fulfil the purposes outlined in this policy.

Under normal circumstances, footage is retained for a maximum of 30 days before being automatically deleted or overwritten.

Where footage is required for an investigation, legal matter or insurance claim, it may be retained for a longer period where necessary.

Security of Recordings

All CCTV recordings are stored securely and protected against unauthorised access, alteration or disclosure.

Only authorised individuals may access or review recorded footage.

Appropriate technical and organisational measures are in place to safeguard recorded data.

Subject Access Requests

Individuals have the right to request access to personal information held about them, including CCTV footage where they can be identified.

Requests should be submitted in writing and must include sufficient information to enable us to locate the relevant footage.

Before any footage is released, we may request proof of identity and assess the rights and privacy of any third parties who may also appear in the recording.

Not all requests can be fulfilled if doing so would adversely affect the rights of others or where legal exemptions apply.
